My Business Bookkeeping Is a Mess

My Business Bookkeeping Is a Mess often hides in one bucket.

The account with the shrug for a name is where the year goes to wait.

Name the bucket

An uncategorized balance is still open, which is the bucket this page opens first.

Why the bucket filled up

Most files we open have one account that means later. Sometimes it is named for a question. Sometimes it is just called miscellaneous, or suspense, or temp. The balance is not the interesting part. The interesting part is that every unsure swipe went there so the person coding could get back to the shop floor.

That kindness to a busy afternoon becomes a problem in the spring. Profit is whatever fell out of the bucket by accident. The rest is a lump. A lender reading the lump cannot tell a truck from a grocery run. You cannot either, not from the total.

How a line leaves

We do not empty the bucket with a rule that says everything under a certain size is supplies. Each line gets one of four endings. It is an ordinary cost, and it moves to the account that matches the receipt. It is you, putting money in or taking money out, and it moves to equity. It belongs to another company you own, and both files get an entry so neither side dangles. Or it is a real asset or a real loan we had not set up yet, and we create that account, move the balance, and ask for the statement.

Until a receipt or your word supports the move, the line stays where we can see it. A hidden guess is how the bucket refills next month. A visible question is a list we can finish.

A receipt that names two things

A Saturday of errands can end with one receipt that names two things. One lamp stays with the company and one goes to the house. We mark that ticket before the bucket is allowed to keep both. A mixed receipt is how a clean month starts lying about the year. The bucket cannot tell the shop from the kitchen. The sort can, and that is the whole point of opening it. The same split shows up on a hardware run, a grocery stop, and a box that was opened at the kitchen table and never coded. We write the split on the line while the afternoon is still easy to remember.

When the bucket is empty, or when what remains is a short list of missing statements, the profit means something. That is the moment the catch-all stops being the story of the year.

Four questions people ask while the bucket is open

Which bucket is the heavy one

If you remember the name on the account, write it. If you do not, say so.
